Getting Started

Getting started with hearwhatisaY is simple and intuitive.

First, download the app by searching for it in the Apple Apple Store or Google Play.

Once you have the app installed, you’ll automatically start with a Basic plan, which is free of charge.

From the home screen, you can start a meeting, join a meeting or change your settings.

Edit Your Profile

Access your profile by tapping on the app menu at the top left of the home screen and then tapping on your name at the top of the settings screen.

Your profile is where you edit your:

  • Name
    • What other users see when you join a meeting, speak or text
  • Profile image
    • Used when other users view your profile
  • Phone Number
    • Only used by the app
    • Not seen by other users
    • Must be valid to update your monthly plan
  • Default Language
    • The default language you will hear as other users speak or text
    • The default language you speak in while using the app which will be interpreted
    • You can easily change languages while in a meeting to switch languages
  • Gender
    • This controls the gender of the digital voice you hear when others are speaking
    • Displays when others view your profile
  • Other preferences
    • These only display when other users views your profile but include interests and hobbies, age, ethnicity, occupation, etc.
  • Password
    • Change your password for using the app

Meetings

Meetings are where all translated communication occurs within the app, whether hosting a presentation or having a conversation with other users.

When you start a meeting, you can choose whether to start the meeting instantly or at a future date and time.

Instant meetings are great for having a conversation with one or a small group of people, which allows each person to turn on their microphone and speak independently.

Scheduled meetings are great for larger group presentations, when one or more hosts are presenting to a larger group.

Start or Schedule a Meeting

Start a meeting by tapping “Start a Meeting” from the home screen.

On the “Setup Meeting” screen, you can start an instant meeting or schedule one for a future date.

To start a meeting instantly, tap “Start Now.”

To schedule a meeting, choose a date and start time and tap “Schedule Meeting.”

Join a Meeting

Join a meeting by tapping the “Join a Meeting” button on the home screen of the app and either enter the meeting number or scan the QR code.

Invite Other Users to a Meeting

Invite other users to a meeting you are hosting by providing them the meeting number or QR code after you start the meeting. Be aware of your monthly plan’s limitations. Choose “Share Invitation” near the bottom of the screen to view the meeting number and QR code.

  • Meeting numbers are convenient when you’re inviting users in email, text or over the phone. They can also be used in print or in-person.
  • QR codes are convenient when you’re in-person and the other user doesn’t understand your language. They can simply tap the “Join a Meeting” button on their app’s home screen and use their camera to join.

Speaking & Listening

When you join a meeting, you will automatically hear others as they speak in your own language. You can also read their translated text similar to a text message.

Speaking in a Conversation

If the host of a meeting chose Conversation Mode, you will be able to tap on the microphone button to speak. It’s important to pause slightly after you speak to ensure you’re not speaking over someone else.

Speaking in a Lecture

If the host of a meeting chose Lecture Mode, you will only be able to speak when the host unmutes you, which will display the microphone button at the bottom of the screen.

Switching Communication Modes

When a host starts a meeting, they choose one of 3 communication modes which changes for all users in the meeting. The host can also change modes during a meeting.

Conversation Mode

Conversations allow 2 or more people to have an open discussion. All users have a microphone button allowing them to speak at any time. It’s important to pause after you speak so that other users don’t try to speak at the same time.

Lecture Mode

Lecture Mode allows one person to speak while everyone else listens. Listeners don’t have a microphone button unless the presenter grants the user access to it.

Texting Mode

Texting Mode allows all users to text at the same time, similar to a group text on a phone.

Controlling User Interaction

The host of a meeting can mute or unmute other users at any time during the meeting by going to the Attendees List at the lower right of the meeting screen. The presenter can mute individuals or mute/unmute everyone.

Direct Messaging

It is possible to directly message other users in a text meeting. This allows users to communicate with each other independently.

During a Texting Mode meeting, tap on the attendees list and click “Request” next to the name of the user you would like to communicate with. Once the other user approves the request, you will be able to directly message them.

Meeting Transcripts

Users have access to all meeting transcripts which they have hosted. Transcripts can be downloaded and used in a variety of ways.

To use meeting transcripts, tap on the Settings menu at the top left of the home screen, then tap on “Transcript.” Select one of the previously hosted meetings, then choose Audio or Texting to view the transcripts.

At the bottom right of the screen, tap the PDF button to create a PDF file from the transcript. Next, tap the download button to download the PDF to your device.

Monthly Plans & Payments

hearwhatisaY requires each user to have an account.

Free accounts allow users to join any meeting and communicate freely. Free accounts cannot host meetings.

Free accounts come with a free trial for the first month which allows the user to host a limited number of meetings and meeting time. After the first month, Free accounts can only join existing meetings.

Other account types offer users the ability to host meetings in different quantities and durations.

To select a different plan, tap Settings in the top left of the home screen and then tap “View Plans.” Scroll through the plan options and tap “Upgrade” at the bottom of the screen.

Billing Cycle

Monthly billing cycles begin on the date you upgrade your plan. Each month your credit card will be billed the monthly rate on that date.

Changing Plans

You can upgrade or downgrade your plan at any time.

Downgrading to the Free plan allows to attend other meetings while you’re not hosting any, essentially pausing your monthly payments until you want to host a plan.

Upgrading your plan allows for more meetings, meeting durations and transcripts.

To change your plan, tap on Settings in the top left of the home screen and then tap “View Plans.” You can then choose a different plan and tap “Upgrade” at the bottom of the screen.

Rollover Meetings & Minutes

Unused meetings and minutes do not roll over to the next month.
